Therefore, every single file on your PC should be placed in a designated folder in which it is most at home. And in the same manner, every folder should reside within a main folder or subfolder.<\/p>\n<div class=\"notebox_lite\">\r\n\t<div class=\"notebox_lite__heading\">Note<\/div>\r\n\t<div class=\"notebox__text\">The default <em>Documents<\/em>, <em>Videos<\/em>, <em>Photos<\/em>, and <em>Downloads<\/em> folders in File Explorer can serve as a good starting point for managing both your personal and work files. <\/div>\r\n<\/div>\n<p>However, you want a folder structure that not only makes sense to you now but which will still make sense three or more years down the line. Get the picture? But try not to have more than 8 main folders to avoid possible overlaps and cognitive overload. <\/div>\r\n<\/div>\r\n\n<p>For example, I have created my main folders based on activity as follows: <i>Work<\/i>,<i> Personal<\/i>, and <i>Coding<\/i>. Digging through too many layers makes file retrieval a pain. Ideally, your structure should follow this simple hierarchy:<\/p>\n<p><em>Main folder (level 0) \u2192 Subfolder (level 1) \u2192 Subfolder (level 2) \u2192 Subfolder (level 3) \u2192 Files<\/em><\/p>\n<div class=\"notebox_lite\">\r\n\t<div class=\"notebox_lite__heading\">Note<\/div>\r\n\t<div class=\"notebox__text\">Avoid going beyond 3\u20134 levels deep\u2014instead, you can employ a suitable file naming convention to complement your folder structure. Simply right-click on a folder, click on <i>Properties, <\/i>and head to the <i>Customized <\/i> tab. Next, click on the <i>Change Icon <\/i> button to pick an icon that will represent the folder.<\/p>\n<div class=\"screenshots\">\r\n  <div class=\"screenshots__image-shadow\">\r\n    <img data-src=\"https:\/\/www.auslogics.com\/en\/articles\/wp-content\/uploads\/2025\/07\/Change-Icon.png\" alt=\"click on Properties and head to the Customized tab. Next, click on the Change Icon button to pick an icon that will represent the folder\" class=\"lazyload screenshots__image\">\r\n  <\/div>\r\n  <div class=\"screenshots__description\"><\/div>\r\n<\/div>\n<p style=\"padding-left: 40px;\"><b>\u27a1\ufe0f Enable <em>Quick access<\/em> for frequently used folders<\/b><\/p>\n<p>If there are folders that you will be opening often, instead of always going all the way to where they are located, especially for subfolders, you can simply add them to File Explorer\u2019s <em>Quick access<\/em>. All you have to do is right-click on the folder and click on <i>Pin to Quick access <\/i> in the context menu.<\/p>\n<div class=\"screenshots\">\r\n  <div class=\"screenshots__image-shadow\">\r\n    <img data-src=\"https:\/\/www.auslogics.com\/en\/articles\/wp-content\/uploads\/2025\/07\/QuickAccess.png\" alt=\"All you have to do is right-click on the folder and click on Pin to Quick Access in the context menu\" class=\"lazyload screenshots__image\">\r\n  <\/div>\r\n  <div class=\"screenshots__description\"><\/div>\r\n<\/div>\n<p>Afterwards, you can expand the <em>Quick access<\/em> option in the left pane on File Explorer to find all the available folders.<\/p>\n<p>To ensure that the <em>Quick access<\/em> section doesn\u2019t get cluttered, be sure to unpin unused folders once in a while. You can also remove folders that are pinned by default if you do not require them to be there.<\/p>\n<h3>Step 2: Adopt consistent file naming conventions when saving your files<\/h3>\n<div class=\"notebox\">\r\n\t<div class=\"notebox__heading\">Quick win tips<\/div>\r\n\t<div class=\"notebox__text\"><\/p>\n<p>\ud83d\udc49 Make use of keywords for easy searching<\/p>\n<p>\ud83d\udc49 Avoid abbreviations<\/p>\n<p>\ud83d\udc49 Include dates<\/p>\n<p>\ud83d\udc49 Add version numbers<\/p>\n<p>\ud83d\udc49 Prefix numbers to aid sorting<\/p>\n<p>\ud83d\udc49 Adhere to a naming format <\/div>\r\n<\/div>\r\n\n<p><a href=\"https:\/\/ipo.info.yorku.ca\/tool-and-tips\/tip-sheet-6-naming-conventions-for-electronic-files-and-folders\/\">A file naming convention<\/a> means having consistent, detail-rich names for your files and folders. Let\u2019s be honest\u2014naming files <em>Final.docx<\/em>, <em>Latest.docx<\/em>, or <em>Stuff1.docx<\/em> might seem fine in the moment until you try to find it two weeks later.<\/p>\n<p>That\u2019s where a file naming convention saves the day. It\u2019s all about giving your files clear, consistent names so you instantly know what they are without having to open them.<\/p>\n<div class=\"notebox\">\r\n\t<div class=\"notebox__text\">When your files are well-named, you don\u2019t need to create a complex folder structure, as your files are already organized by name, and you can easily search for files when needed using the Start menu search or the search bar in File Explorer. <\/div>\r\n<\/div>\n<p>The guiding principles to keep in mind here are:<\/p>\n<p><b>\ud83d\udd24 Avoid abbreviations:<\/b> They might make sense now, but you might forget later what <em>PRJNWRP<\/em> is supposed to mean.<\/p>\n<p><b>\ud83d\udd0e Include keywords:<\/b> Keywords let you find a file or related files easily via Search. While at it, make sure that your spellings are correct.<\/p>\n<p><b>\ud83d\udcc5 Use dates:<\/b> Start filenames with the date in <em>YYYY-MM-DD<\/em> format. This is especially useful for image files and work documents.<\/p>\n<p>Thus, the name would go something like <em>YYYY-MM-DD_Keywords<\/em>. For example, <em>2025-06-27_Our_Wedding_Anniversary_Img1.jpg<\/em>.<\/p>\n<p><b>\ud83d\udd22 Add numbers for sorting:<\/b> Prefix related files with <em>001<\/em>, <em>002<\/em>, etc., to mark the order and control how they are listed within the folder\u2014especially useful when you\u2019re dealing with series or priorities.<\/p>\n<p><b>\ud83d\uddc2\ufe0f Include file versions:<\/b> Working on drafts or revisions? Add the version to the filename to aid tracking. For example: <em>Apple_Pie_Recipe_Ver1.pdf<\/em>.<\/p>\n<p><b>\ud83e\udde9 Pick a format and stick to it:<\/b> Whether you use underscores, hyphens, or PascalCase (like <em>MyProjectFile.docx<\/em>), consistency is key. It wouldn\u2019t be a good idea to name files one way today and another way tomorrow. Use the same format always.<\/p>\n<p>Continuing with my personal illustration as a freelance writer, the naming convention that I have adopted for my completed projects is a combination of dates and keywords.<\/p>\n<p>As you can see in the image below, each file name starts with <em>YYYY-MM-DD<\/em>, followed by the name of the company and the project title, all separated with underscores.<\/p>\n<div class=\"notebox_lite\">\r\n\t<div class=\"notebox_lite__heading\">Note<\/div>\r\n\t<div class=\"notebox__text\">For example, here is the name of the file for one of my completed projects for Auslogics: <em>2025-06-08_Auslogics_[RANKED]_The_Best_Free_Duplicate_File_Finder_Tools_for_Windows_PCs<\/em>. <\/div>\r\n<\/div>\n<div class=\"screenshots\">\r\n  <div class=\"screenshots__image-shadow\">\r\n    <img data-src=\"https:\/\/www.auslogics.com\/en\/articles\/wp-content\/uploads\/2025\/07\/NamingConvention.png\" alt=\"each file name starts with YYYY-MM-DD, followed by the name of the company, and lastly, the project title, all separated with underscores\" class=\"lazyload screenshots__image\">\r\n  <\/div>\r\n  <div class=\"screenshots__description\"><\/div>\r\n<\/div>\n<p>Naming files in a meaningful manner makes retrieving them a breeze. Search becomes quick and effective, and you no longer have to wade through folders every time.<\/p>\n<p>If you haven\u2019t been following a naming convention, now is a good time to start. You can begin by renaming your existing files. This also provides an excellent opportunity to <a href=\"https:\/\/www.auslogics.com\/en\/articles\/how-to-delete-temporary-files-from-windows-10-pcs\/\">delete unwanted files and reduce clutter<\/a>.<\/p>\n<div class=\"notebox_lite\">\r\n\t<div class=\"notebox_lite__heading\">Note<\/div>\r\n\t<div class=\"notebox__text\">However, if you have a very large number of files, and renaming them one by one seems impractical or simply impossible, then you can employ a third-party tool like <a href=\"https:\/\/www.bulkrenameutility.co.uk\/\">Bulk Rename Utility<\/a> to rename multiple files and folders in one go, based on set criteria. <\/div>\r\n<\/div>\n<h3>Step 3: Move and sort files into the right folders on your computer<\/h3>\n<div class=\"notebox\">\r\n\t<div class=\"notebox__heading\">Quick win tips<\/div>\r\n\t<div class=\"notebox__text\"><\/p>\n<p>\ud83d\udc49 Select and tag related files<\/p>\n<p>\ud83d\udc49 Move files into the appropriate folders within your folder structure <\/div>\r\n<\/div>\r\n\n<p>Now that you have a logical folder structure, you can start moving your files to the associated folders.<\/p>\n<p style=\"padding-left: 40px;\"><b>\u27a1\ufe0f Selecting files<\/b><\/p>\n<p>Select multiple files by holding down the <code>Ctrl<\/code> key on your keyboard while clicking on the individual files in a given location. If the files are adjacent, select the first file, hold down the <code>Shift<\/code> key, and then select the last file in the order.<\/p>\n<p style=\"padding-left: 40px;\"><b>\u27a1\ufe0f Tagging files<\/b><\/p>\n<p>You can take your file organization a step further by <a href=\"https:\/\/zapier.com\/blog\/how-to-use-tags-and-labels\/\">tagging associated files<\/a> before moving them into their respective folders. Windows has a built-in feature for tagging files.
